At Gizińscy Medical Center, we implemented a voicebot designed to reduce the problem of no-shows — appointments cancelled or not confirmed by patients. The solution covered 29 specialist clinics in the Kuyavian-Pomeranian region. The Center faced heavy call center loads and a high percentage of unconfirmed patient visits.
To address these challenges, we deployed a voicebot integrated with the KS-SOMED system to confirm patient appointments. Additionally, we implemented a virtual PBX with modern VoIP devices and a contact center system for the registration team. This approach not only reduced no-shows to just a few percent but also streamlined the entire patient service process, improving both satisfaction and staff comfort. The Center’s call throughput increased, and communication between facilities became even more efficient.

Recovering cancelled appointments at Sanitas Specialist Doctors
At Sanitas Specialist Doctors, we faced the challenge of recovering cancelled patient appointments and making them available to others. The clinic struggled with a high rate of missed visits, leading to financial losses and limiting its ability to help more patients.

The solution was a medical voicebot. It was integrated with the HIS (Hospital Information System). This integration allowed the voice assistant real-time access to patient data and doctors’ schedules. As a result, visit confirmation effectiveness increased significantly. After integrating with the MyDR EDM system, the clinic began successfully recovering cancelled appointments and offering them to other patients — improving both patient satisfaction and the clinic’s revenue.

We needed a comprehensive solution to enhance the quality of services provided by one of Poland’s most important medical institutions. The hospital administration struggled with overloaded phone lines, a high rate of unanswered calls, and low patient satisfaction.
Our response was to implement a virtual PBX and a dedicated Contact Center module for the registration team, ensuring effective deployment. In addition, AI-driven automation through a medical voicebot handled part of the patient communication — providing easy access to information and registration. In cooperation with Rawicz Hospital, we integrated a medical voicebot with the HIS Eskulap Hospital Information System. The hospital provides comprehensive healthcare to the county’s residents but faced a major issue with missed visits — patients not informing the hospital about their absence. This caused financial losses and reduced the facility’s capacity to serve those in need.

To solve this, we implemented a medical voicebot for appointment confirmation, fully integrated with the HIS Eskulap system. Within a short period, the number of missed appointments decreased, and cancelled time slots were efficiently reassigned to other patients. Automating this process relieved hospital staff and improved service quality. As a result, the hospital’s profitability increased, allowing more medical procedures to be performed in the same time frame. Specialist availability also improved.
